We are seeking a highly organized and proactive Dispatcher / Executive Assistant to help keep our operations running smoothly and our customers satisfied.
Position Summary:
As a Dispatcher / Executive Assistant, you’ll play a vital role in supporting both our field operations and company leadership. This hybrid role is ideal for someone who thrives in a fast-paced environment, enjoys juggling tasks, and is a strong communicator with a service-first mindset. You’ll work directly with company leadership and coordinate day-to-day workflows for field technicians.
Key Responsibilities:
•Answer incoming phone calls from customers, inspectors, contractors, and vendors, and handle inquiries or route them appropriately
•Schedule jobs and dispatch electricians based on availability, location, and project urgency
•Pull permits and coordinate inspection scheduling with local jurisdictions
•Monitor job progress and ensure inspections and deadlines stay on track
•Create and send invoices promptly after job completion
•Track payment status and follow up on outstanding balances
•Queue timecard approvals and assist with payroll preparation
•Communicate with customers regarding job scheduling, updates, and follow-ups
•Support the owners with administrative tasks and project coordination as needed
Qualifications:
•Experience in dispatching, executive assistance, office management, or similar role (preferably in construction or skilled trades)
•Strong customer service skills and a friendly, professional personality — you are the voice of the company to our customers and vendors
•Excellent organizational and time management abilities
•Strong written and verbal communication
•Tech-savvy with proficiency in scheduling software, digital invoicing, and spreadsheets
•Ability to handle multiple priorities calmly and efficiently
•Familiarity with permitting and inspection processes is a plus
