Position title: Inventory Control Coordinator


Reports to: Transportation and Distribution Manager


JOB PURPOSE / OBJECTIVES:

Provide for the satisfaction of customer requirements by providing assistance with inventory, production and shipping information. Is the point of liaison for the internal players for anything linked to external warehousing of packaged products. This position also provides backup support for the Distribution Specialist position. Provide other backup duties as needed by the Customer Service & Logistics Team.


KEY RESULTS AREAS / PRINCIPAL RESPONSIBILITIES:

Responsible for the coordination of the following activities for all packaged materials at outside warehouse locations:

+ Replenishment of inventory, determine safety stock levels in coordination with sales forecast, order book and historical sales. + Daily optimized operations (in / out / stock count). + Monthly closing. + Annual performance review of packaged warehouse locations (safety and practices). + Shelf life management / aged reporting and alerting Sales to ensure inventory movement. + Stock reconciliation (packaged warehouses including Norfolk) for inventory adjustments as needed and corrective actions.

Support of Master data alignment for the packaged material network.
Daily follow-up with Norfolk and all external packaged warehouses to ensure timely receipt of documents for processing into the ERP system.
Provide supply chain accurate inventory stock counts, at least weekly, and more frequent as needed, verifying production/pallet counts of finished products, package size, quantity and lot number.
Point of liaison for emergencies and daily routines with production and sales.
Send updated Order Confirmations to packaged customers where orders are delayed due to product availability, advising of the available date based on the Production Packing Schedule
Reclassification for Supersacks to Bulk for customer orders at bulk transloaders.
Allocate all packaged orders for customers and outside warehouse replenishment.
Sampling PreShipments of materials as required.
Ensure Customers with spec requirements are allocated as required.
Other duties as assigned by the Transportation and Distribution Manager.


BACK UP RESPONSIBILITIES:

Billing all rail shipments with the selected railroad on outbound shipments.
Resolving any rail discrepancies and schedules rail car repairs in coordination with Shared Services.
Monitoring and trace outbound rail shipments to warehouses/bulk terminals.
Enter stock replenishment orders to bulk terminals as needed.
Process BOL’s for external bulk warehouses.
Providing inventory reconciliation and usage billing for all consignment customers.

Performance Criteria:

Accurate and timely processing of all transactions required of this position
Ensure customer satisfaction based on duties assigned
Timely retrieval of bill of ladings from external warehouses to allow for prompt Invoicing & inventory accuracy


NATURE AND SCOPE OF ACTIVITIES:

This position is based on procedures to provide products to all outside warehouses, contract packers, and customers with contract specifications and special requirements. While this position is based on a structured process, flexibility is required to handle special customer needs within the constraints of the distribution process


KNOWLEDGE, SKILLS AND EXPERIENCES


Knowledge/Education Required:

High School Graduate, College degree preferred or equivalent years of experience

Detail oriented with strong clerical skills.
Proficient knowledge in all Google Products
Good written, verbal communication and mathematical skills.
Critical thinking and problem solving skills.
Ability to work as part of the Supply Chain Team, with flexibility to assist where needed.
Ability to work in a production environment.


Experience:

Prior inventory control and distribution experience.
Experience with integrated ERP System.
Above average working knowledge and experience in Microsoft Excel / G Sheets.


KEY CHALLENGES

Managing multiple priorities, managing positive customer relationships under adverse situations, and very close attention to accuracy and attention to detail, working in a team environment.

PHYSICAL DEMANDS

This position requires remaining in a seated position for long periods of time, the ability to pick, pinch or otherwise work primarily with fingers to operate the keyboard for computer work. This position requires the employee to frequently walk, bend, stoop and have the ability to lift and or move up to 25 pounds and mostly works in an office or plant environment. This position is exposed to a cement and often dusty plant work environment and with contact with our product. Based on the hazards of working in a plant/industrial environment, this position requires alertness, the ability to think rationally while working on multiple tasks. This position needs the ability to express or exchange ideas, provide detailed spoken instructions by means of the spoken word to impact oral information to managers, suppliers, contractors, co-workers, direct reports or the public. While performing the duties of this job, the employee is regularly required to use hands to finger, handle or feel, reach with hands and arms, stoop, kneel, crouch, or crawl and talk or hear. The employee is required to stand, walk, sit and climb or balance. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus.
