Job Responsibilities – Customer Service & Invoicing Specialist
•
Invoice orders once shipped and process progress payment invoices.
•
Upload invoices to customer portals and monitor for issues or rejections.
•
Verify billing details, including sales tax accuracy, and respond to related customer questions or concerns.
•
Send statements to customers upon request and complete credit reference forms.
•
Process credit card payments and release credit shipping holds.
•
Set up and maintain accurate customer account information.
•
Request and apply credits for incorrect sales tax charges; enter valid exemption certificates.
•
Coordinate programs related to stock replenishment and returns to stock.
•
Receive and enter stock orders accurately into the system.
•
Act as a main contact for OEM customers and manufacturing reps to resolve issues quickly.
•
Send technical documentation (e.g., product drawings, specs) to customers and reps.
•
Provide technical support and application assistance to ensure customer needs are met.
•
Review customer specifications and prepare sales quotes.
•
Build strong customer relationships to support retention and sales growth.
•
Maintain organized sales files and assist with departmental clerical tasks as needed.
