Job Overview:
Wave Electrical LLC, a fast-growing electrical company, is looking for an experienced Electrical Administrative Assistant to join our team. This role involves managing dispatching, billing, and administrative tasks to support the efficient operation of our business. Experience with construction or electrical administrative work is mandatory. The ideal candidate will be proficient with Housecall Pro and QuickBooks Online, and have a strong background in supporting construction or trade-related businesses.
Key Responsibilities:Dispatching & Scheduling:
•
Coordinate scheduling and dispatching of electricians to job sites.
•
Maintain accurate schedules and respond to changes in real-time.
•
Serve as the main point of contact for field staff to manage job progress and troubleshoot scheduling conflicts.
Billing & Financial Administration:
•
Create, send, and manage customer invoices using QuickBooks Online.
•
Monitor accounts receivable, process payments, and follow up on overdue invoices.
•
Support job costing, purchase orders, and budget tracking for projects.
Office & Project Support:
•
Handle customer inquiries via phone, email, and chat with professionalism.
•
Maintain and organize office files, including permits, project documentation, and contracts.
•
Submit and track required permits and compliance documentation for electrical projects.
•
Enter data into Housecall Pro to ensure accurate job tracking and record-keeping.
General Administrative Duties:
•
Assist with payroll processing and time tracking for field and office staff.
•
Order office supplies and coordinate with vendors as needed.
•
Prepare reports, proposals, and other business documents as required.
What We’re Looking For:Experience:
•
Mandatory: At least 2 years of administrative experience in construction, electrical, or a related trade industry.
Skills:
•
Strong proficiency with Housecall Pro or similar crm systems and QuickBooks Online.
•
Excellent organizational and multitasking skills in a fast-paced environment.
•
Solid understanding of billing processes, dispatching, and office management.
•
Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
Attributes:

•
Strong verbal and written communication skills.
•
Familiarity with electrical/construction terminology is preferred.
