Job Summary:

The Project Coordinator is responsible for planning, organizing, and working with project leads to complete landscaping projects from start to finish. This role requires strong communication skills to effectively coordinate with designers, estimators, foremen, and customers. Project Coordinators will use designs, estimates, and pictures to create daily load sheets for crews and to schedule material deliveries and pick-ups. The Project Coordinator ensures projects are completed on time, within budget, and in accordance with company standards.


Key Responsibilities:


Project Planning & Coordination:

Work alongside the design and estimating teams to ensure all necessary materials are acquired for projects.
Locate materials and schedule pick-ups and deliveries for assigned landscape projects.
Develop and maintain project schedules, ensuring all timelines are met.
Create detailed daily load sheets for assigned jobs and crews.
Plan, develop, and implement training strategies for field teams.
Establish and maintain systems for tracking necessary aspects of project training and development.


Communication & Documentation:

Serve as the primary point of contact between clients, designers, estimators, and the production team.
Provide regular project updates to stakeholders, addressing any concerns or scope changes.
Document and maintain records of project progress, changes, and issues encountered.
Utilize Microsoft Office applications, email, and other implemented software systems to manage and communicate project details.


Resource & Logistics Management:

Schedule and coordinate material deliveries and pick-ups for each project.
Ensure that the necessary labor, materials, and equipment are available for crews.
Troubleshoot material shortages, equipment failures, and scheduling conflicts.
Act and operate independently with minimal daily direction from the manager to accomplish objectives.


On-Site Oversight & Quality Control:

Conduct site visits to monitor work progress, ensuring quality and adherence to project plans.
Work alongside the crew when needed and assist the foreman with training and delegating duties.
Ensure safety protocols are followed and report any hazards or violations.


Leadership & Performance Management:

Provide clear work direction, resolve issues, prepare schedules, and set deadlines to ensure timely completion of work.
Inspect work in progress for quality and accuracy, ensuring on-time project completion.
Develop and execute strategies to enhance productivity, quality, customer satisfaction, and employee engagement.
Lead site operations to consistently meet or exceed business objectives and annual targets.


Qualifications & Skills:

Education: Bachelor’s degree in project management, construction management, landscape architecture, or a related field (preferred but not required).
Experience: Minimum of 3-5 years in a project coordination role, preferably in landscaping, construction, or related industries.
Technical Skills:
Proficiency in project management software and scheduling tools.
Strong ability to use Microsoft Office applications, including Excel and Outlook.
Basic understanding of landscape construction techniques and materials.
Strong analytical thinking and troubleshooting skills.
Soft Skills:
Strong communication and interpersonal skills.
Excellent problem-solving and decision-making abilities.
Highly detail-oriented and organized in work.
Ability to multitask and prioritize in a fast-paced environment.


Work Environment & Expectations:

Majority of work will take place in an office setting with frequent travel to project sites.
Requires flexibility to adapt to changing schedules and project needs.
Must be able to work collaboratively with different departments and external vendors.
Occasional extended hours may be required during peak project phases.

Required to wear proper work attire daily, including a company-branded shirt, pants, and work boots. Employees should maintain a professional appearance at all times, as they may be required to meet with clients, vendors, or other stakeholders. Personal grooming and cleanliness should reflect a professional image in alignment with the company’s standards.


Job Type: Full-time


Pay: $60,000.00 - $75,000.00 per year
