Overview

We are seeking an Office Admin to join our team. This candidate will provide administrative support to team members and must know QuickBooks. The candidate must be detailed oriented, organized, and be able to prioritize tasks given.

Job Description

•

In person office work. Hours are 7:00 AM-4:00 PM

•

Office management consists of opening up office, answer calls, order office supplies, collate and distribute mail, maintain filing systems electronic and paper.

•

Shipment receiving in warehouse

•

Assist in compiling documentation for bids of projects, prepare letter of intent and contracts

•

Work with vendors to maintain current certificates of insurance

•

Responsible for purchasing supplies and materials and tracking those on Quick Books

•

Tracking of all orders and pricing

•

Run errands to pick up printed plans

•

Pull City Permits for jobs

•

Payroll processing and accounts payable

•

Assist with year end tax preparations

•

Monitor all business, City, State, and Contractor Licenses, insurance certificates, and W9 Forms

•

Gather new employee forms and process new employee paperwork

•

Gather employee hours to process bi-weekly payroll

•

Processing accounts receivables, handling payables bank deposits, coding invoices, accurately record sales transactions

•

Assist others in the office on various projects

•

Light office and restroom janitorial

•

Other duties may be assigned

Qualifications & Education

•

2-4 years of administrative or project coordination support

•

Excellent time management and organizational skills

•

Attention to detail

•

Ability to handle multiple tasks and is flexible with change

•

Work independently

•

Excellent interpersonal communication, written, and oral skills

•

Proficient in Microsoft Office, Google, Adobe Professional, 2 years in Quickbooks

•

Type: minimum 65 WPM & proficient with 10 key

•

Bilingual in Spanish is a plus

•

Forklift certification a plus

Job Type: Full-time

Pay: $22.00 - $30.00 per hour Depending On Experience

Expected hours: 40 per week
