The Office Administrative Assistant performs administrative tasks and services to support the organization’s effective and efficient operation of the office function. Performs administrative and clerical functions including but not limited to: answering phones, performing customer intakes, data entry, establishing and maintaining customer and other office files, updating project files as needed, running errands as needed to support office and field staff productivity, and helping maintain a clean and orderly office environment. This position will also support organizational managers in their duties as needed. The position incumbent is expected to demonstrate a high degree of professional integrity, initiative, time management capabilities, and problem solving to achieve these goals. This position reports to the Office Manager but will also need to successfully collaborate and communicate with various parts of the organization regularly to effectively achieve results.


Key Office Responsibilities

Assisting our Energy Auditors with Data Entry
Fielding incoming customer calls and referring prosects and customers to Sales or Management team as appropriate
Setting up new customer files; maintaining and updating existing files as needed.
Filing of completed projects and organization and maintenance of office filing system
Routine Office cleaning as needed.
Other duties as assigned by Office Manager or other senior management.


Requirements

Excellent verbal and written communication skills
Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy
Excellent organizational skills and attention to detail
High school degree or equivalent
Familiarity with Microsoft Office products (Word, Excel, PowerPoint) or G-Suite equivalents
Must be able to regularly perform seated office work for extended periods
Must be able to lift up to 30 pounds at times


Preferred Qualifications

Prior office administrative or clerical experience
Prior customer service experience


Job Type: Full-time


Pay: $18.00 - $21.00 per hour


Expected hours: 30 – 40 per week
