About This Job

Patterson & Dewar Engineers, Inc. is currently seeking a part-time Office Administrator in our Gallatin, TN office. This position will be responsible for organizing and performing the administrative activities that will facilitate the smooth running of the operations function as required at Patterson & Dewar Engineers.

Essential Functions

•

Ordering materials for office use and managing supply inventory

•

Responsible for all shipping and receiving

•

Taking pictures of office activities, as requested, and sharing with Marketing for monthly newsletters

•

Planning and preparing for office lunches and outings

•

Interface with office vendors, including security company, HVAC, copier, cleaning team, landlord, etc. This includes managing contracts and renewals, service calls and approving invoices

•

Assisting with substation projects (i.e. preparing contract drafts, letters, pre-bid agendas, drafting purchase orders, assisting with bid evaluations)

•

Assembling, printing, binding, shipping, filing and archiving client reports, documents and contracts

•

Assisting in managing all client documents on the shared drives

•

Update projects and opportunities and run reports, etc. in Vantagepoint

•

Attending meetings as required

•

Other administrative support duties as necessary

Preferred Skills and Qualifications

•

Must be proficient with Microsoft office suite including Word, Excel and PowerPoint

•

Able to be available to assist others as needed in a fast-paced customer driven environment

•

Possess the ability to effectively communicate (via phone, email and face-to-face) in a professional manner

•

Successful in completing tasks with little to no supervision

· Proficient in the use of the software and tools necessary to complete the work

•

Ability and willingness to work extended hours when needed
