What Your Day Looks Like

As an HVAC Office Administrator, your day is filled with engaging interactions and problem-solving. You will oversee the administrative heartbeat of our operations. This role is ideal for someone with diverse office management skills, basic accounting, HR, and cross-functional decision-making skills, as well as a skill set in office management and basic accounting.

What You Will Do

The Office Administrator is responsible for the following:

Office Operations: Manage day-to-day office tasks, including maintaining supplies, overseeing administrative duties, and ensuring the smooth functioning of the office.
CRM Management and Data Entry: Update and verify correct documentation, invoicing, etc. in CRM (Service Titan).
Partner closely with C-Suite leadership on growth, operational challenges, and other vital tasks.
Human Resources: Handle onboarding, employee records, and essential HR functions.
Team Support: Collaborate with the field team to facilitate effective communication
Work rotating on-call shifts
Other duties as directed


Work Schedule

This is an in-office full-time position with a schedule of Monday through Friday from 10am-7 pm based on seasonality.


The Minimum Requirements to Be Considered

3+ years of experience as an Office Administrator or relative experience
Proven customer service experience
Excellent communication skills and a proactive approach to problem-solving
Strong organizational skills and attention to detail
Ability to multitask and manage deadlines effectively.
Must undergo a background check
Must have a valid Arizona Driver’s License


Preferred Qualifications

Familiarity with Service Titan software
Previous office management experience (HVAC or similar industry preferred).
Proficiency in accounting software (e.g., QuickBooks) and Microsoft Office Suite
