About This Job

Ambient Air Systems LLC is looking for a competent Office Assistant to help with the organization and running of the daily administrative operations of the company. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results.

Responsibilities

•

Create and update records ensuring accuracy and validity of information on computer

•

Maintains a thorough knowledge of the office, including the location of various files, documents, and reports.

•

Responsible for keeping the office clean and organized

•

Maintain files, update, edit and organize documents, both physical and electronic

•

Accept and screen calls, take messages, and assist callers when possible

•

Distributes memos and manager notification

•

Assist with customer service inquiries and provide excellent service to customers, vendors and our technicians

•

Greet office visitors in a courteous, professional manner and determine whether they should be given access to specific individuals

•

Keeping inventory of office supplies and maintaining stock

•

Perform basic essential bookkeeping work

•

Receiving shipments

•

Assist with moving boxes and light inter-office moves

•

Coordinate and/or assist with event planning tasks

•

Utilize QuickBooks to assist with tracking expenses and inputting receipts

•

Other administrative responsibilities as requested

Skills

•

Working knowledge of office equipment such as computers, printers, scanners and phone systems.

•

Excellent organizational and time management skills; multitask

•

Excellent written and verbal communication skills
