We are seeking a organized and efficient secretary / Dispatcher to join our team. Will play a crucial role in coordinating and managing the flow of information between clients and crew. This position requires excellent communication skills, strong time management abilities, and a keen attention to detail. The ideal candidate will be proficient in various software applications and possess a customer-focused mindset.

Responsibilities

•

Manage incoming calls and respond to client inquiries with professionalism and courtesy.

Schedule appointments and dispatch crew efficiently to ensure timely service.

•

Maintain accurate records of dispatch activities, including service requests, schedules, and client communications.

•

Utilize computer systems and software such as Google Suite and QuickBooks for data entry, scheduling, and reporting.

•

Provide exceptional customer support by addressing concerns and resolving issues promptly.

•

Collaborate with team members to optimize workflow and improve operational efficiency.

•

Ensure compliance with company policies and procedures while maintaining confidentiality of sensitive information.

Experience

•

Proven experience in a clerical or administrative role is preferred.

•

Strong computer literacy with proficiency in QuickBooks.

•

Excellent phone etiquette and communication skills for effective interaction with clients and team members.

•

Demonstrated ability to manage time effectively while handling multiple tasks simultaneously.

•

Familiarity with customer support principles and practices is advantageous.

•

Ability to type efficiently while maintaining accuracy in data entry tasks.
