The purpose of the Mine Administrative Assistant is to understand and coordinate all administrative, purchasing, and DOT activities associated with the Vale Mine, Mine Maintenance, and Load & Haul groups.
JOB SUMMARY:
General
•Promote a positive employee environment
•Enter data daily and keep accurate records per DOT, MSHA, and US Silica requirements.
•Reconcile and report monthly fuel usage. (Clear and Dyed Diesel)
•Submit monthly weight mile tax by due date.
•Submit month-end reports on the last day of the month. (Weekend would be required if the last day of month falls on a weekend)
•Assist supervisors as needed. (Transportation & Mine)
•Maintain an organized and tidy front desk space and reception area.
•Meet and greet customers, employees, vendors, guests professionally
•Perform additional clerical duties such as filing, copying, faxing, scanning, & emailing as required
•Provide coverage of the front window.
•Meet and greet customers, vendors, guests.
•Ensure visitors go through site specific safety training and are issued all necessary Personal Protective Equipment.
•Participate in Safety programs as needed.
Mine/L&H Equipment
•Monitor fuel levels at mine and order as needed. (Clear, Dyed Diesel, and Gasoline)
•Ensure registrations, licenses, and operating permits are kept current for all L&H/Mine equipment
•Create, update, and complete work orders in IFS on all mine/L&H equipment
•Maintain Driver Qualification files per DOT and US Silica requirements.
•Track and schedule DOT physical renewals including submission to State DMV.
•Train new drivers on required paperwork and truck scale operation.
•Coordinate truck scale maintenance and repairs as needed.
•Communicate DOT changes and updates to supervisors.
Purchasing
•Submit invoices and receipts to AP daily; monitor to ensure prompt payments to vendors.
•Reconcile monthly vendor statements with JDE.
•Purchase supplies and materials for the Mine operations.
•Issue purchase orders and work with vendors to secure supplies.
•Obtain competitive price quotes from various vendors, negotiate prices on materials to ensure we operate at the lowest cost possible.
EXPERIENCE, KNOWLEDGE, SKILLS & ABILITIES
•High School Diploma required
•One to three years related office experience.
•Familiarity with DOT regulations/website and Oregon Trucking On-Line preferred or ability to learn.
•Computer Skills – Experience with Microsoft Word, Excel and PowerPoint.
•ERP system experience preferred
•Good Organizational Skills.
•Multi-tasking skills a must.
•Good attention to quality and detail.
•Ability to work independently with a sense of urgency
•Ability to work in a fast-paced environment
•Ability to manage time efficiently and effectively to drive results
•Able to work overtime and/or weekend if needed.
•Experience managing or coordinating office environment preferred
•Mining and/or Manufacturing experience preferred
