About This Job

SUMMARY/OBJECTIVE:

The SECRETARIAL SUPPORT II position provides a variety of clerical support services for one to four individuals. The primary responsibility for this position is on traditional secretarial support services, such as gathering data, organizing, typing, controlling workflow, records keeping and general clerical assistance functions. A position in this class reports directly to the Office Supervisor or other professional or administrative position.

POSITION DUTIES AND RESPONSIBILITIES:

•

Greets visitors and callers, determining the nature of their business with the department, and refers them to the appropriate office or individual for assistance.

•

Responds promptly to radio transmissions.

•

Receives, reviews, and disseminates incoming mail and fax correspondence.

•

Types and processes correspondence, memoranda, reports, and court orders including appointment letters, Presentence Investigations, warrants, ARD violations and parole orders.

•

Proofreads and corrects errors on all correspondence.

•

Serves as 'back-up', and is cross-trained on all clerical responsibilities.

•

Creates and disseminates Court lists to office staff.

•

Inputs data into the department's caseload management system.

•

Establishes and maintains accurate office files.

•

Cleans, organizes and scans closed office files.

•

Recommends changes to workload activities in order to streamline processing and effectiveness of responsibilities.

•

Ability to use office equipment to check emails, send faxes, make copies and update computer databases.

OTHER DUTIES:

Perform other related duties as required to support the operation of the department or at the direction of the Chief Probation Officer.

REQUIREMENTS AND QUALIFICATIONS:

•

High School Diploma or GED

•

Three to four years clerical experience in an administrative, professional, government or judicial setting.

•

Any equivalent combination of acceptable training and experience which has provided the knowledge, skills and abilities that are cited above.

•

Knowledge of relevant software applications including Microsoft Office.

•

Knowledge of the English language, grammar, spelling and punctuation as used in clerical processing assignments.

•

Strong organization skills.

•

Strong verbal and written skills.

•

Strong professional ethics.

•

Criminal Background check required.
