Production and Order Support Specialist
The Production and Order Support Specialist plays a vital role in facilitating order processing, coordinating production, managing inventory, and communicating with internal teams. Serving as a central point of contact for the sales, production, and shipping departments, this position ensures the accurate and timely execution of door orders. Success in this role requires strong attention to detail, excellent organizational skills, and clear communication.
Key Responsibilities:
•Order Management & Customer Support
•Receive and process incoming orders from sales teams.
•Review all orders for accuracy, completeness, and material availability before submitting to production.
•Create and maintain logs of pending, backordered, and special orders; communicate status updates to stakeholders.
•Verify payment on all incoming orders and ensure alignment with company policies.
•Assist sales representatives in building accurate work orders and responding to order inquiries.
•Answer and direct incoming phone calls professionally and promptly.
System & Documentation
•Accurately enter and process order data into Bistrack and maintain clean records.
•Generate, print, and distribute work orders, labels, and other required production documents.
•Shipping & Logistics Coordination
•Coordinate deliveries and pickups with the shipping team; group orders appropriately by delivery route.
•Review next-day delivery schedules to ensure alignment with dispatch and avoid confusion.
•Assist in preparing accessory items for drivers ahead of daily routes.
Inventory & Production Coordination
•Receive incoming material deliveries and input them into the system.
•Review and correct stock transfers, ensuring system accuracy.
•Maintain proper follow-up on backorders and work with the team to schedule production runs as needed.
•Make minor adjustments to work orders when necessary to align with available components.
Cross-Functional Teamwork
•Work closely with production, purchasing, and shipping teams to ensure seamless operations.
•Communicate urgent or priority orders to the appropriate leads.
•Uphold quality, security, and organizational standards.
•Take initiative to solve problems and continuously improve internal processes.
•Perform other work-related duties as assigned.
Requirements:
Skills and Qualifications:
•Strong attention to detail and accuracy
•Experience with ERP systems (Bistrack preferred) and Excel
•Excellent written and verbal communication
•Ability to multitask and prioritize in a fast-paced environment
•Team-oriented with a proactive and problem-solving mindset
•Basic understanding of production and inventory flow preferred
•Comfortable with occasional physical tasks (e.g., unloading material)
