Job Summary: To support the project managers as part of a project team by assisting with project administration, start-up, meeting contract milestones and minimum requirements, coordinating purchase orders, managing subcontracts and subcontractor compliance, managing change orders and project close-out.
· Basic knowledge of mechanical systems with 0-2 years’ experience in mechanical/ construction trades
· Self-motivated, able to work independently to reach time-sensitive goals
· Basic working knowledge of Microsoft office suite/ Windows
· Some college or apprenticeship program completion preferred
· Poses strong interpersonal skills with positive, service-oriented professional demeanor
· Able to work effectively with a diverse set of people
· Able to read specifications, drawings and designs
· Assist in setting up project kick-off meetings between departments (Design, drafting, engineering, etc.)
· Assist in preparing project documents for job files and distributions.
· Assist in gathering submittal documents, shop drawings, subcontracts
· Assist in reviewing submittal documents and show drawings for submission
· Assist in tracking material and equipment deliveries
· Assist as needed with project managers on other project requirements not listed and assist and/ coordinate in other departments as needed
· Contact subcontractors and vendors for submittals & O&M documents
· Monitor and track along with Project manager field required documents such as but not limited to; progress photos, daily reports, Job Hazard Analyses, QC plans, jobsite inspections, incident/ Accident reports, 3-Week Schedules
· Assist Project Manager with creation and management of purchase orders
· Help to create delivery dates and coordinate delivery logistics
· Assist PM with writing subcontracts, follow-up with subs for executed contracts, submittals and other documentation and communication.
· Gather project close-out, start-up and commission documents for processing as needed
· Assist in gather pricing, costs, time and material tickets for change order processing by PM and Estimating department
· Assist PM in assembling PCOs, issuing PCO logs and tracking Change Orders from Customers
· Assist PM and Field and change order phase coding and proper documentation
· Assist in gather project close out information
· Assist in project commissioning team as required
· Assist in creating project owner training schedule and documentation
· Meet with Project Managers as needed to discuss daily project correspondence, issues and general information
· Attend other meetings as required and where needed
· Partner with other to mobilize resources, resolve issues and reach common goals
