Who We Are

The Independent Electricity System Operator (IESO) works at the centre of the province’s power system, ensuring Ontarians have access to reliable and cost-effective electricity when and where they need it. We operate the province’s electricity grid 24/7, design, run and oversee the wholesale electricity markets, and plan and prepare to meet Ontario’s electricity needs – now and into the future.

The Opportunity

Provide coordination and administrative support for the activities of the stakeholder engagement team. Monitor assigned engagement and committee email inboxes, including handling routine correspondence and inquiries related to any engagements or committees. Triaging emails and routing to appropriate SMEs with follow-ups if required.

For external sessions, coordinate and organize services for stakeholder engagement sessions and events, such as securing location, timing, facilities, catering, budgets, special needs requirements, audio-visual equipment, printing and supplies. Source vendor/facilities based on specified criteria and requirements, enquire, and prepare proposals on the value of different options for staging training events/seminars. Provide administrative support duties, prepare monthly and annual reports, organize and maintain a filing system for engagement and committee materials and records. Maintain a database of all engagement and committee related information. Administer the engagement website and work with IESO Web Publishing on posting all materials required for external sector engagements and committees.

What You’ll Be Doing

Provide coordination and administrative support for the activities of the Stakeholder Engagement team.
Monitor the engagement and committee email boxes, including handling routine correspondence and inquiries related to any engagements or committees. Triaging emails and routing to appropriate SMEs.
Administer the engagement and committee webpages as contact person for maintaining/posting new or updated information and materials on web pages.
For external sessions, coordinate and organize services for stakeholder engagement sessions and events, such as securing location, timing, facilities, catering, budgets, signage, special needs requirements, audio-visual equipment, printing and supplies. Source vendor/facilities based on specified criteria and requirements, enquire, and prepare proposals on the value of different options for staging meetings.
Provide administrative support such as: maintain a calendar of all engagements; make travel arrangements for department staff; print, collate, transmit electronically, or ship (as necessary) materials required for engagement sessions.
Support the collection of stakeholder engagement feedback and prepare summaries based on data collected.
Monitor and manage meeting expenses including processing expense claims and remuneration invoices and coordinating the processing of invoices between stakeholders/ vendors and Accounts Payable.
Prepare monthly and annual reports to illustrate trends (such as number of engagement participants) and to help monitor effectiveness of engagements.
Maintain a database of engagement related information.
Organize and maintain a filing system. Coordinate and interface, as necessary, with the corporate records group in administering a records filing system.
Prepare submissions for the Integrity Commissioner – quarterly
Perform other duties as required.


Requires What You Need to Succeed

a comprehensive knowledge of business and office procedures and practices.
proficiency in English grammar and sentence structure, as necessary, to prepare, key in, edit and proofread, reports, summaries, etc.
expression skills necessary for the oral communication requirements of the office.
knowledge of the basic operating principles of computers as they relate to information processing, e.g., word processing, electronic mail, spreadsheets etc.
knowledge of basic statistical methods and formats and associated graphs such as pie and bar graphs to prepare summaries and reports.
proficiency in computer keyboard operation.
experience in an administrative position to understand standard business practices, procedures, departmental policies, balancing of work priorities, etc, as they apply to own work requirements.
experience in coordinating services for seminars, conferences and other events.
experience to understand the scope of the Manager’s responsibilities, the various internal and external work contacts, and the organization pattern in order to assist in maintaining continuity of objectives and practices across the department, to become familiar with support services provided.
experience to become proficient with the various computer software applications required to carry out job activities. experience in carrying out direct and tactful interface with varied external contacts such as engagement participants and vendors.

A period of over 3 years, up to and including 4 years of experience is considered necessary to gain this experience.

This knowledge is considered to be normally acquired either through the successful completion of Grade XII in a Secondary School, or by having the equivalent level of education.

The IESO offers a hybrid work model program to most of our employees, based on business needs. Individuals participating in the program can work an average of three days per week remotely within Ontario. It also offers three flex weeks when individuals can work remotely within Ontario . When working in the office, you will be located at our Mississauga, Toronto, or Oakville location.
