Sr Payroll Specialist
1.0 Position Summary
The Sr. Payroll Specialist position is responsible for managing the end-to-end payroll process,
ensuring accurate and timely payroll processing for our 1,000-employees in the US and Canada,
including salaried and hourly workers. This role involves ensuring accurate and timely payroll
processing using ADP and a proprietary timekeeping system, overseeing the reimbursement of
payroll, bonuses, incentives, expenses, and other approved reimbursements, and building scalable,
systematic processes. This individual will work closely with leaders across the organization to ensure
payroll accuracy and compliance with best practices, aiming to support and scale within a global
payroll organization within the next 2-3 years.
2.0 Education and Experience
•Bachelor’s degree in Finance, Accounting, Business Administration, or a related field preferred;
•3+ years of experience in payroll processing, with a strong focus on U.S. and Canadian payroll.
•The role requires expertise in payroll systems, data analysis, and compliance, as well as experience with ADP.
•Proficiency in ADP payroll systems and experience with proprietary timekeeping systems.
•Certified Payroll Professional (CPP) strongly preferred.
•Exceptional written and verbal communication skills, with the ability to work effectively with cross-functional teams and organizational leaders.
•Demonstrated ability to handle sensitive payroll data with a high level of accuracy and attention to detail.
•Familiarity with global payroll operations or a willingness to grow into a global payroll role in the next 2-3 years.
•Ability to work both independently and as part of a cross-functional team, with a proactive and problem-solving mindset.
•Fluency in Spanish and/or other languages relevant to the company's operational regions desired.
•Familiarity with compliance matters like data privacy, state severance and termination payroll guidelines.
3.0 Responsibilities

•Manage full-cycle payroll for U.S. and Canadian employees, ensuring compliance with country, federal, state and local regulations, and organizational policies.
•Ensure high accuracy and attention to detail in all payroll data entries, adjustments, and reporting.
•Process bi-weekly payroll cycles for salaried and hourly employees using ADP Workforce
•Now and the company’s proprietary timekeeping system.
•Timekeeping and Data Management:
•Oversee the collection, validation, and reconciliation of time and attendance data from the proprietary system.
•Collaborate with supervisors and managers to resolve discrepancies in time records.
•Compliance and Reporting:
•Maintain compliance with applicable wage and hour laws, tax regulations, and company policies.
•Maintain thorough payroll documentation to support compliance with regulatory requirements and internal audits.
•Prepare and submit required tax filings, payroll reports, and audits.
•Ensure proper documentation and handling of garnishments, deductions, and adjustments.
•System Optimization and Support:
•Identify opportunities to optimize payroll and timekeeping systems for efficiency and accuracy.
•Create and document payroll processes that are efficient, repeatable, and scalable, with an emphasis on process improvement and automation where applicable.
•Partner with IT and ADP support teams to address system issues and implement updates
Collaboration & Communication:
•Collaborate across departments to understand payroll needs, communicate payroll'related updates, and address issues effectively.
Employee Support:
•Respond to employee inquiries about payroll, taxes, deductions, and timekeeping in a professional and timely manner.
•Provide training to staff and managers on timekeeping procedures and payroll policies as needed.
•Perform other duties as requested.
4.0 Travel
•Flexibility to work across time zones. No travel anticipated.
5.0 Fitness for Duty – Physical Demands
•Prolonged periods sitting at a desk and working on a computer.
•Must be able to lift up to 15 pounds at times.
