What You’ll Do

•

Own our lead pipeline: manage incoming leads, follow up via calls & emails, and keep prospects moving forward

•

Keep the cash flowing: generate invoices, track payments, and drive collections on past-due accounts

•

Run the work-order cycle: create, upload, secure approvals, schedule crews, bill jobs, and close out projects

•

Juggle paperwork like a pro: maintain files (job setups through warranty), insurance records, permits, and COIs

•

Boost team morale: plan in-house or off-site events—parties, celebrations, conferences—you name it

•

Troubleshoot & problem-solve: jump in to identify conflicts, recommend solutions, and keep projects on track

•

Collaborate with vendors & subs: coordinate schedules, follow up on completion, and ensure smooth operations

•

Support special projects: from brainstorming ROI-boosting ideas to updating our social media presence

•

Handle day-to-day office flow: order supplies, sort mail, run errands, and create/send DocuSigns

What We’re Looking For

•

Proven office savvy: 3+ years in office administration or assistant role, ideally in a high-energy setting

•

Tech comfort: solid (or eager to learn) skills in MS Excel, Outlook, Word—and a knack for picking up new tools

•

Detail-obsessed organizer: you spot missing pieces, prioritize like a champ, and keep everything on track

•

Great communicator: clear, confident, and engaging on the phone, in email, and in person

•

Creative problem-solver: you see better ways to work and aren’t afraid to suggest them

•

Self-starter: you own your tasks, follow through independently, and thrive in a team environment
