We are seeking a proactive and detail-oriented
Documentation Coordinator
to oversee the organization, tracking, and distribution of critical project documentation throughout the lifecycle of our BESS installations for data centers. This role will support engineering, project management, and construction teams by ensuring that all documentation is current, accessible, and aligned with internal processes and client expectations.
Key Responsibilities•Coordinate the collection, review, organization, and distribution of technical and project-related documents across teams and stakeholders.
•Manage document logs and maintain up-to-date records of drawings, specifications, RFIs, submittals, change orders, and close-out packages.
•Ensure proper version control and timely communication of updates to internal and external parties.
•Collaborate with vendors, contractors, and consultants to obtain and review documentation submissions.
•Support the VP of Engineering and Project Managers in maintaining compliance with client and regulatory documentation requirements.
•Assist in the preparation and submission of turnover packages, as-built documentation, and final deliverables.
•Implement document management procedures that align with company and project-specific standards.
•Facilitate audits and quality control reviews related to documentation tracking.
Requirements
•Associate’s or Bachelor’s degree preferred; relevant experience accepted in lieu of a degree.
•3+ years of experience in documentation coordination, document control, or administrative support for technical projects.
•Familiarity with document control systems such as Procore, Aconex, SharePoint, or equivalent platforms.
•Knowledge of construction, engineering, or data center project documentation.
•Exceptional attention to detail, organizational skills, and time management.
•Effective written and verbal communication skills.
•Ability to work independently and manage priorities in a fast-paced, deadline-driven environment.
Preferred Qualifications
•Experience working in energy, infrastructure, construction, or data center environments.
•Proficiency with Microsoft Office (Excel, Word, Outlook) and PDF editing tools.
•Knowledge of basic technical drawing formats and engineering documentation.
